COST EFFECTIVE AND MANAGEABLE
Sinclair Knight Merz (SKM) required a system for registering attendees to their Annual Client Cocktail Function. BCP provided an automated, easy-to-use, efficient, cost-effective solution tailored to the client. SKM were able to see numbers of registrations in real time through their secure administration console.
Client Need
Sinclair Knight Merz (SKM) required a system for registering attendees to their Annual Client Cocktail Function. They had a list of people they wished to invite and only invitees were allowed to register.
They wanted to make the registration process as easy as possible for their
clients, to monitor the progress of registrations in real-time and to
re-send invites to incorrect e-mail addresses. They also saw it as an
opportunity to update their client database as part of the process.
The Solution
BCP proposed an email invitation—it’s cost-effective and quick—and a registration process requiring invitees to click on a link, ensure their details were correct and click one more button; a system that was simple and easy to use.
Each person received an HTML email invitation. They could click on a link that said “Yes, I would like to attend” and be taken to a form already filled with their details. This involved some clever programming to ensure that personal details remained 100% secure. On this form, a user could edit theirs details in any way they wished and then submit them to the system, thus updating SKM’s database. Alternatively, invitees could indicate that they were unable to attend by clicking on a similar link.
One week prior to the event a reminder email was sent to those who had not responded and whose email address had successfully received the invitation. This led to a flurry of registrations and was again achieved at very minimal cost.
BCP provided administration access enabling SKM to monitor the number of registrations, the number of people who had read their email, the number of people who had clicked through for more information, which links they followed and which emails had been unsuccessful - all in real-time.
Conclusion
SKM was “over the moon” with the solution and their clients commented on its ease of use and intelligent methodologies. They were extremely happy that they were able to make contact with their clients in such a fast and user-friendly manner. They particularly liked the statistical data they were able to obtain by logging in to their secure administration console.
